About the role: As Executive Assistant to Aurizon’s GM Bulk South West, GM Bulk Iron Ore and Central West, and Head of Customer and Growth, you will be providing a high level of confidential, effective, and efficient support, including administrative and other tasks, to the Executive office and specialised area of support. The role will require out of hours contact from time to time.

  • Manage all day-to-day tasks including provision of office management and coordination of administrative duties.
  • Responsible for managing the Welshpool Head office, including corporate events, client entertainment, and general administration and oversight.
  • Provide confidential and timely administrative assistance to the Executive/s which may include reporting, word processing, spreadsheets, flowcharts and presentation preparation and distribution.
  • Efficient, effective and timely diary management which may include coordinating and allocating appointments, arranging conferences and meetings, travel and accommodation arrangements, screen visitors and telephone enquiries to allow the Executive/s to effectively carry out their role.
  • Liaise between the Board, Executives, Business Leaders, Union Officials, Senior Government Officials, and members of the public to ensure the efficient operation of the Executive Offices.
  • Analyse, develop and maintain processes and business systems which may include conducting research on subjects, technologies, practices, and procedures.
  • Establish and maintain office management systems by prioritising and distributing correspondence and monitoring outcomes and actions when required.
  • Provide administrative support at meetings and conferences which may include taking notes and preparing minutes, agendas, and action statements.
  • Advise the Executive/s of issues requiring their personal attention and take follow up action to ensure the successful completion of tasks (including preparation of routine responses).
  • Undertake other duties as requested and coordinate business unit activities when required.

About You:

  • Minimum 3 years administrative experience.
  • Ability to prioritise and able to manage multiple stakeholders.
  • Previous experience supporting Executive or Senior Leaders.
  • Substantial level of organisational and time management skills with a strong capacity to work under pressure, multi-task and manage matters of a confidential and sensitive nature within tight deadlines.
  • Substantial level of written, oral and interpersonal communication, influencing and negotiation skills.
  • Substantial level of project management, problem solving, analytical, research and decision-making skills.
  • Substantial level of skill in the use of computer applications for example SAP and Microsoft Office.
  • Demonstrated ability to work independently and collaboratively as part of a team.
  •  Is proactive and patient with stakeholders and demonstrates high ethical standards, integrity and commitment to all business and commercial dealings.
  • Substantial level of knowledge of HR management, budgetary and financial processes, IT, safety, legal compliance, business planning and asset control.
  • Substantial level of knowledge of correspondence, submission proforma and procedures and within protocols, structures and operations.
